Role Purpose 

We are looking for an enthusiastic and agile Office Administrator, who would be working with both the Leadership and the other teams to coordinate day to day planned and unplanned operations. 

Job Description 

• Making sure that all visitors and incoming calls are courteously, promptly handled and directed to the appropriate personnel. 

• Sorting and processing all incoming mail correspondence 

• Meeting planning and organization; written correspondence, and aiding with preparation of PowerPoint presentations and expense reporting 

• Works under minimum direction from the leadership and performs general office duties, and other work as assigned from time to time 

• Maintaining good house-keeping practices displays professional etiquette, punctual and has minimum absenteeism 

• Supporting the requisition/ordering office supplies, office equipment as and when necessary. 

• Maintains and shares responsibility for office efficiency and handles unforeseen situations 

• Coordinates the required working space and supplies for new hires. 

• Work closely with Event & Training Coordinator to assist with marketing events including preparing for conferences and other meetings 

• Assisting with event planning and implementation of training events 

• Manage travel booking arrangements for leadership including preparing an itinerary, secure hotel/transportation and pertinent flight information and car rental as and when needed. 

• Manages the CEO’s calendar and schedules, proactively addressing scheduling conflicts, sets and maintains a schedule of appointments and meetings. 

Work Experience 

At least 3 – 4 years of experience in an Office Administration Position. 


• 3+ years of experience in a professional office environment 

• Knowledge of office management processes and reporting procedures 

• Working knowledge of office equipment, like printers and fax machines 

• Demonstrated competency in MS Office (Excel and PowerPoint) 

• Knowledge of Accounting Package would be an advantage 

• Prioritization 

• Attention to detail and problem-solving skills 

• Articulate Communicator 

• Strong organizational skills with the ability to multi-task 

• Ability to work well under limited supervision

Role Purpose 

We are looking seeking a confident and ambitious Events and Training Coordinator, who would be reporting to the CEO. The role will be responsible for assisting in managing a broad range of training programs and events within the company. The incumbent will provide support where applicable with operational activities in events, vendor oversight and equipment and supplies. 

Job Description 

• Working closely with other team members to ensure successful execution of meetings 

• Contact clients to determine event interest, confirm speakers, send invitations to clients, oversee client RSVPs and compliance 

• Managing all correspondence with advisors before meeting, assist in maximizing attendance at events, ensure the event runs successfully, manage all on-site logistics, conduct post-event cost analysis and review client charges 

• Provide team with all relevant collateral for the events including event signage and brochures 

• Organize Team Event calendar including internal conference calendar, monthly upcoming conference email and forthcoming event lists 

• Supporting the online and offline marketing of the events and the training sessions 

• Coordinate effectively with various stakeholders for the event set-ups by ensuring that communication is optimum as to avoid any operational issues 


Bachelor’s degree or 3 – 5 experience in a relevant domain 


• Previous experience of working within an event and training coordination environment 

• Proficient knowledge of MS Office and Organising Systems 

• Very high attention to detail 

• Outstanding customer service skills 

• Verbal & Written Communication skills

Salary: $50,000/Annum
